Import your contacts

The Short Answer
Open Prospecting → ⋯ → Add Contacts → Import a Spreadsheet and pick an .xlsx, .xls or .csv file. The column that matters most is the phone number or email: without one mapped correctly, every message to the people you imported is held. Anyone already in your book is updated, not added twice.
Importing brings your whole book in at once. There is one thing worth getting right on the way in.
How do I import a list?
- In the left rail, open Prospecting.
- Press ⋯ → Add Contacts → Import a Spreadsheet.
- Pick the file from My Files, Computer or Drive — an .xlsx, .xls or .csv. Your client tracker or a Meta Lead Ads export both work.
- Check the Columns: each of your columns is shown with a sample and what it was read as. Change any that is wrong.
- Check the People: each row is marked New or Already here. Untick anyone you do not want in, then press Import — the button shows the count, like Import 42 People.
Nothing is saved until that last press, and the people appear in your book as soon as it finishes.
⋯ → Update Profiles → Import a Spreadsheet opens the same importer. If your book is empty, Import a Spreadsheet is the first button in the middle of the Prospecting screen.
Which column matters most?
The phone number or the email address. It is the one column that decides whether PropKaki can send to a person at all.
If you map it to the wrong column, the import still succeeds — but every one of those people is held with no phone or email on file the first time you write to them. That is the usual cause when you see it on many people at once.
What if a column isn't read the way I want?
In Check the Columns, each column's dropdown ends in Choose a Field…. It opens Which field is "Bank Name"?, with the seven cards down the side and a search. Press a field and the column lands there. A field another column already fills is greyed, with that column's name beside it.
A cell that doesn't fit its field is kept in their notes instead, and the import says so: Couldn't read "martian" as a Residency — kept in notes.
If no column says who is buying or selling, the importer asks once, under the table: Whose address is in the "Address" column? Pick Their Own Home or A Unit They Asked About; a Floor column follows the same answer. Left unanswered, the address is read as a unit they asked about.
What happens to people already in my book?
Someone already in your book is matched rather than added twice, so re-importing a list you have partly entered by hand does not leave you with two of everyone.
If a detail differs, the record keeps what it already had unless you change it.
How do I check the import worked?
The last screen says how many people were added, and how many already in your book were updated.
Open two or three of the new people in Prospecting and check they have a phone number or an email against them.
The faster check: start a message to a handful. Anything mapped wrong shows up immediately as no phone or email on file, before you have sent anything.
