Import a WhatsApp chat
Updated 24 September 2026
The Short Answer
Export the chat from WhatsApp without media, then choose Import Chat. From Prospecting → ⋯ → Add Contacts or Update Profiles, PropKaki asks who the chat is with; from one person's Update Profile, it files straight into them. One chat per import, and the whole chat lands on that one person.
A WhatsApp export is one conversation, so it always lands on one person — you either name them, or start from their profile.
How do I export the chat from WhatsApp?
In WhatsApp, open the conversation, choose Export chat, then Without media. You get a .zip or a .txt file. Keep it somewhere you can pick it from: your computer, your My Files in PropKaki, or Google Drive — which is where a phone often sends it.
PropKaki only reads the messages. An export with the photos and videos in it is usually too big to upload, and if you pick one, PropKaki tells you to export it again without media.
Where do I import it from?
| Start here | What happens |
|---|---|
| Prospecting → ⋯ → Add Contacts → Import Chat | Asks who the chat is with — someone new, or someone already in your book |
| Prospecting → ⋯ → Update Profiles → Import Chat | The same |
| Inbox → ⋯ → Add Contacts → Import Chat | The same |
| Import Chat in the middle of Prospecting, when your book is empty | The same |
| Update Profile → Import Chat on one person — from their profile, or under Client Context in the Inbox | Files straight into them |
| In the Inbox, the menu on a conversation that already has a contact — right-click it, or press ⋯ at the top of it — then Import Chat | Files straight into that person |
Who does the chat land on?
First, PropKaki counts the messages and asks Which name is you? Pick yours, so it knows which side of the chat is you.
From your book, it then asks Who is this chat with? If the name or number in the export matches someone already in your book, they are picked for you, PropKaki says This chat will be added to their history, and the button reads Add to and their name. Otherwise it sets up a new contact with the name from the chat filled in — Mobile is optional, because an export carries no number. You can pick someone else either way.
From one person, there is nothing to answer: it files into them, and the button is Import.
What happens with a group chat?
A group chat is still one export, so it lands on one person. A couple deciding together is the usual case: the whole chat goes under whichever of them you pick.
When it asks Which name is you?, only the name you pick is kept as you. Every message from anyone else in the group goes into that one person's history.
Can I import several chats at once?
One chat per import: each step takes one file. For several conversations, import them one after another — Update Profile → Import Chat on each person is quickest when they are already in your book.
Importing the same export again does not double it. Messages already in their history are skipped, and from one person the line after the import — Saved 38 messages — counts only the new ones.
Where does the chat show up afterwards?
It is kept as history, in their chat and on their Sent Logs tab, and the export file itself is kept on their Files tab.
PropKaki also reads the chat straight away, so their profile fills in with what it learned. From one person, the line after the import says how many messages were saved and how many things were added.
Why does it say the file doesn't read as a WhatsApp chat export?
Import Chat only takes a WhatsApp export — a .zip or a .txt. My Files and Drive show every kind of file, so a PDF or a photo can be picked there; it is turned away before anything is read.
The same check runs the other way. Pick a chat export under Upload a Document and PropKaki stops, and tells you to go Back and choose Import Chat, so it is kept as history.
