What does PropKaki know about a prospect?

The Short Answer
A prospect's record holds their contact details, your notes, the files against them and everything you have sent. PropKaki reads that record fresh each time it writes, so anything you add is used on the very next message. Nothing is copied or cached.
The profile is the truth. There is no second copy of a person anywhere in PropKaki.
What is on a prospect's record?
Four things:
- How to reach them — phone number, email address.
- Your notes — anything you have written about them.
- Their files — anything you have attached to them.
- Everything you have sent them, with the date.
Open anyone in Prospecting to see all four.
Does PropKaki use my notes when it writes?
Yes. The record is read fresh at the moment PropKaki writes, so a note you add now is used in the very next draft. There is no copy sitting somewhere going stale.
That is worth knowing the other way round too: fixing a wrong detail fixes every message from that point on, with nothing to re-sync.
What if a detail is missing?
PropKaki writes around what it does not have. A shorter record makes a plainer message, not a broken one.
The exception is a blank in your message — a piece that changes per person, like their property. If the record has nothing to fill it, that person's message is held rather than sent with a gap in it.
Can my client see any of this?
No. Your notes, your files and your history are yours. The only thing that reaches a client is the message you send them.
