What does PropKaki know about a prospect?

Four things:

1. How to reach them — phone number, email address.
2. Your notes — added with Update Profile → Add Notes, and kept word for word on their Profile tab.
3. Their files — added with Update Profile → Upload a Document, or + Upload a Document on their Files tab. A tenancy agreement, an OTP or a brochure is read for what it says and kept there until you remove it.
4. Everything you have sent them, with the date, on their Sent Logs tab. What you send through PropKaki lands there by itself; an older WhatsApp conversation comes in with Update Profile → Import Chat.

One more way in: Update Profile → Sync with Chats reads what they have said in their chats with you since you last looked, and adds what it learns to their profile.

Beside those, their Profile tab holds what you know about them, in up to seven cards: their finances, the homes they own or rent, what they are looking for and how the deal is going. What is on a prospect's profile? walks through it.

Open anyone in Prospecting to see all four, and press Update Profile on their profile to add to them. Each option opens its own step, one at a time.

Yes. The record is read fresh at the moment PropKaki writes, so a note you add now is used in the very next draft. There is no copy sitting somewhere going stale.

That is worth knowing the other way round too: fixing a wrong detail fixes every message from that point on, with nothing to refresh.

PropKaki writes around what it does not have. A shorter record makes a plainer message, not a broken one.

The exception is a blank in your message — a piece that changes per person, like their property. If the record has nothing to fill it, that person's message is held rather than sent with a gap in it.

No. Your notes, your files and your history are yours. The only thing that reaches a client is the message you send them.
