View and add your contacts

Updated 8 October 2026

The Short Answer

Everyone you talk to is a contact; a prospect is someone you chose to work, who counts toward your plan and can be sent automations. See everyone under Inbox → ⋯ → View Contacts. Add more with Inbox → ⋯ → Add Contacts: Upload Contacts from your phone, Import a Contact List or Add Contact Manually.

Contacts cost nothing and reach nobody; they name your conversations until you choose to work someone.

How is a contact different from a prospect?

Everyone you talk to is a contact — the people saved in your WhatsApp Business app, people you save in PropKaki, and everyone who has messaged you. A contact names your conversations. It isn't counted toward your plan and is never sent an automation.

A prospect is someone you chose to work. Prospects are your book in Prospecting: they count toward your plan, and automations and group sends can reach them.

Every prospect is also a contact. Taking someone out of Prospects leaves them a contact, with their conversation.

How do I see all my contacts?

Open Inbox → ⋯ → View Contacts. It lists everyone you've saved on WhatsApp or chatted with, one row per person.

  • Search name or number, or filter with All, Prospects or With a Chat — each shows its count.
  • Each row shows their number and where they came from, such as Saved on WhatsApp or Saved contact, a Prospect chip if they're in your book, and No chat yet if you've never written to each other.
  • Message opens their conversation. Start Chat, on someone you've never written to, opens your own WhatsApp on their number — or your email app for an email-only contact.
  • Tick people and press Add 2 to Prospects to add them to your book. Nothing is sent to them.

How do I add contacts from my phone?

  1. Export your phone's contacts as a .vcf. On iPhone: Contacts → Lists → All Contacts → Export. On Android: Contacts → Export to .vcf.
  2. In PropKaki, open Inbox → ⋯ → Add Contacts (or Add Contacts in View Contacts) and choose Upload Contacts.
  3. Pick the file under Computer. PropKaki reads it first and says what it holds — 312 people · 294 new · 18 you already have (their names stay as they are) · 6 without a phone or email, skipped.
  4. Press Save 294 Contacts. Nothing is saved before that press.

Someone you already have keeps their name — a file never overwrites one. Uploading the same file again reads Nothing new to save — you already have everyone in it.

Can I add a list, or one person?

Both are under Inbox → ⋯ → Add Contacts:

  • Import a Contact List — a spreadsheet or CSV of names and numbers. Set each column to Name, Phone, Email or Skip; the step asks you to choose the column with their phone number or email. Then press the button, which counts them — Import 42 Contacts.
  • Add Contact Manually — Name, Mobile and Email, then Save Contact. The form stays open for the next person and says Mdm Tan is saved as a contact.

Everyone added here is a contact, not a prospect. For a client list you want to work, use Prospecting → ⋯ → Add Prospects → Import a Spreadsheet instead.

Do I have to add my WhatsApp contacts?

No. If you connected the number already in your WhatsApp Business app, everyone saved in the app is saved in PropKaki as a contact, and kept in step as you add, rename or remove them there. Add Contacts says how many: Your WhatsApp contacts are saved automatically — 1,438 so far.

What happens when a saved contact messages me?

Someone new who messages your WhatsApp line becomes a prospect on their own, with the New Lead alert, as before.

The exception is someone you've already saved — in your WhatsApp Business app's contacts on that line, or in your PropKaki contacts. They stay a contact: no prospect, no New Lead alert and no automation. The conversation still lands in your Inbox, and you can right-click it and choose Add to Prospects whenever you like. The same goes for someone you took out of Prospects.

First messages by email, Messenger or Instagram work as before.
