Add a chat to your prospects

The Short Answer
In your Inbox, right-click a conversation and choose Add to Prospects. For several at once, choose Select, tick them and press Add to Prospects. Their conversation comes with them, and nothing is sent to them. Remove from Prospects takes someone out again and keeps them as a contact.
Everyone who writes to you is a contact; a prospect is someone you choose to work, and this is where you choose.
How do I add one chat?
- In your Inbox, right-click the conversation — press and hold it on a phone, or press ⋯ at the top of an open conversation.
- Choose Add to Prospects.
That's it — one press. The line at the foot of the list reads Mdm Tan is now a prospect. Sync with Chats to fill in their profile from your conversation. Press Sync with Chats there to fill in their profile from what they've said.
An open conversation with nobody behind it shows the same two choices on a card headed Not in your Prospects yet. Their row then wears a Prospect chip.
How do I add several chats at once?
- Right-click any conversation and choose Select. It is ticked, and every row gets a box.
- Tick the others. Shift-click takes everyone between your last tick and this one.
- Press Add to Prospects in the band at the top — it shows how many you've ticked. Cancel, or Escape, leaves without changing anything.
The line after reads 3 added to Prospects. Sync with Chats to fill in their profiles from your conversations. If someone you ticked was already a prospect, it says so by name — Jeremy Lim was already a prospect. — and adds nobody twice.
What if they're already a prospect under another chat?
Someone may already be in your book from another number or another channel. Right-click the conversation and choose Add to an Existing Prospect….
It asks you to pick the person this chat is with, and says their conversations become one. Search for them and press Merge into with their name. The chat files under them, and you don't end up with two records for one client.
Does adding someone send them anything?
No. Adding someone to Prospects sends them nothing, raises no New Lead alert and starts no automation — it is your choice, not an arrival.
What changes is on your side: they are in your book in Prospecting, where you can write to them, group them and keep notes that shape what PropKaki writes next. They count toward your plan, and automations and group sends can reach them. If your plan has no room for everyone you ticked, the newest conversations go in first and the line names who didn't fit: Priya Shah didn't fit in your plan's prospect limit.
These choices appear once your CEA licence is verified.
How do I take someone out of Prospects?
- Right-click their conversation and choose Remove from Prospects. A prospect's menu also offers Open Profile and Import Chat.
- It asks Remove Mdm Tan from Prospects? and says: Their profile, notes and Sent Logs are deleted. They stay in your contacts, and your conversation stays in your Inbox.
- Press Remove from Prospects.
The line after reads Mdm Tan is no longer a prospect. They're still in your contacts. If they write to your WhatsApp line again, they stay a contact — you can add them back any time.
