Send your first outreach from a spreadsheet

Updated 22 October 2026

The Short Answer

In Prospecting, press ⋯ then New Group, set Fill to Upload Contacts and press Create & Choose a File. Import your spreadsheet and everyone lands in that group. Then press the group's ⋯ then Message, pick what to say or Use Template, and press Send All. Sending costs 1 credit per person it reaches.

Making the group first means the people you import are already together when you write to them.

How do I send my first outreach from a spreadsheet?

  1. Open Prospecting and press ⋯ → New Group. Give it a Name, set Fill to Upload Contacts and press Create & Choose a File.
  2. Pick your file: an .xlsx, .xls, .csv or .tsv.
  3. On Check the Columns, make sure the phone number or email column is read correctly, then press Looks Right — Show the People.
  4. On Check the People, untick anyone you do not want and press Import, which carries the count, such as Import 42 People.
  5. Switch to Groups, press your group's ⋯ → Message and, under What do you want to do?, pick what the message is for. To send wording you already have, pick Use Template; to type it yourself, Write Myself.
  6. Read what is in the box, then press Send All.

After the import, the last screen says Added 42 people to [your group]. Anyone PropKaki cannot send to is named before anything goes out, and the rest still send.

Why does WhatsApp need Meta's approval for these people?

People you import have usually never written to you, and WhatsApp only lets a message reach someone who has not messaged you in 24 hours once Meta has approved its wording. So you have two ways to send:

  • Use Template and pick one marked Approved by Meta.
  • Send your own words. PropKaki says so before anything goes out: 42 haven’t messaged you in 24 hours, so Meta approves this message first. It goes to them the moment it is approved, usually within a day.

A template still Waiting on Meta works the same way. To make one, see Create a message template and Get a template approved by Meta.

What does the first outreach cost?

Sending is 1 credit per person it reaches.

If PropKaki writes the message for you, the draft depends on how it is written:

How it is writtenDraftGroup of 42, sent
Generic Message — one message for everyone1 credit43 credits
Fill-In Message — one message, filled in for each person1 credit43 credits
Customised Message — a different message for each person1 per person84 credits

Writing it yourself with Write Myself skips the draft, so 42 people is 42 credits. For every other case, see Send a message to a group.

Can I add them to a group I already have?

Yes. Press Prospecting → ⋯ → Add Prospects → Import a Spreadsheet instead. On Check the People, choose the group under Add everyone to before you press Import.

Nobody leaves a group they are already in; they are added to this one too. If someone is already in it, the last screen says the rest were already there, and nothing is duplicated.

A group takes 2,000 people at a time. If your file holds more, the rest are still in your book and you can add them from the list. See Import a spreadsheet of prospects for the columns.

What do I do after it has gone out?

Replies come into your Inbox.

For the people who have not answered, open Prospecting → ⋯ → Follow-Ups. Due Today lists anyone whose follow-up date has come, and Recommended Follow-Ups suggests who to write to next. See Work through your follow-ups.

A message still waiting on Meta shows Waiting for Meta’s approval in that person's chat until it goes. See Where do I see everything I have sent?

Still Stuck?

Ask PropKaki in the chat — it answers most of these directly — or message the team.
