Create a group
Updated 22 October 2026
The Short Answer
In Prospecting → Groups, press New Group at the end of the board. Type a Name, open Fill and choose Manual Fill for an empty column you fill yourself, or Auto Fill so a rule fills it, then press Create Group. To start one with people in it, tick them in Individuals and right-click → Add All to Group → New Group…
Decide one thing before you start: will you choose the people yourself, or let a rule choose them for you?
How do I create a group?
- In Prospecting, switch to Groups.
- Press New Group at the end of the board. (It is also on Prospecting's ⋯ menu.)
- Type a Name. If you keep more than one grouping, pick where it sits under Grouped By.
- Open Fill and choose Manual Fill or Auto Fill. It starts on Manual Fill.
- On Auto Fill, build the rule under Who’s In It.
- Press Create Group.
The group appears as a new column on the board, under the grouping you picked in Grouped By.
Which Fill should I choose?
Fill decides how people get into the group. The line under it changes with your choice:
| Fill | What you get |
|---|---|
| Manual Fill | An empty column — you drag people in and out. |
| Auto Fill | Everyone who matches all of these shows in the column — it stays true on its own. |
| Upload Contacts | The group is made first, then you pick your spreadsheet. Everyone in it goes in, and anyone already in your book is updated, not duplicated. The button reads Create & Choose a File. |
Upload Contacts is not offered everywhere New Group opens — the button at the end of the board offers the first two.
How do I put people in a group by hand?
A Manual Fill group starts empty. You can put people in three ways:
- On the Groups board, drag a person's card into the column. Drag it out again to take them out.
- In Individuals, right-click a person and choose Add to Group, then the group. Tick several first and the menu reads Add All to Group.
- To start a new group around the people you've ticked, choose New Group… at the foot of that same list. The box says The 7 people you've ticked go straight in — you can add more later.
Later, the column's ⋯ → Edit Group… → Add or Remove Members lets you tick people in and out from a list — see Edit a group.
How do I make a group fill itself?
Choose Auto Fill under Fill, and the box asks Who’s In It. Each row is one question: pick what to ask about in Choose Something…, then the answer in Choose….
A live count sits under the rule — 24 people would be in this group right now — so you can see the size before you press Create Group. From then on, anyone who starts to match shows up in the column on their own.
If the line reads Nothing on file to fill from yet — Manual Fill it, or add profile data first., your book doesn't yet hold anything to build a rule from. For + or, Add Something Else and changing a rule later, see Add or change a group's rule.
Why is Auto Fill greyed?
You opened New Group with people ticked. The line under Fill says why: Auto Fill keeps itself up to date from a rule, so it can't hold the 7 people you've ticked.
Make the group with Manual Fill so they go in. You can give it a rule afterwards from the column's ⋯ → Edit Group… → Add a Rule — the people you added stay in, and the rule only adds more.
