Edit a group

Updated 24 September 2026

The Short Answer

In Prospecting → Groups, choose Edit Group… from a column's ⋯ menu. It shows the group's name with a pencil to rename it, and three doors: Add or Remove Members, Upload New Members, and Add a Rule (Change the Rule once it has one). Whatever decides who is in the group comes first.

The three doors are the same on every group — only their order changes, and the line under each tells you where things stand.

Where do I find Edit Group?

  1. In Prospecting, switch to Groups.
  2. On the group's column, press ⋯. The menu reads Message · Edit Group… · Move Left · Move Right · Delete Group.
  3. Choose Edit Group… from that menu.

It opens with the group's name at the top and a pencil beside it. To rename, press the pencil, type the new name (up to 60 characters) and press Enter. The new name is kept when you press Done, or when you open one of the three doors below it. Cancel or Escape leaves the old name.

Which door comes first?

The groupFirstSecondThird
Filled by handAdd or Remove MembersUpload New MembersAdd a Rule
Filled by a ruleChange the RuleAdd or Remove MembersUpload New Members
Readiness or ValueAdd or Remove MembersUpload New MembersChange the Rule, greyed

Each door carries a line saying where things stand: 8 in this group — or 4 in this group, 2 kept out on a group with a rule — then everyone in the spreadsheet joins this group and let it fill itself from now on. On a group with a rule, the line under Change the Rule spells the rule out. That is the one place to read it: a column no longer shows its rule under its name.

How do I add or remove people?

  1. In Edit Group…, press Add or Remove Members. It opens under that title, with the group's name underneath.
  2. Find people with the Search your contacts box, or narrow the list with Show.
  3. Tick someone to add them; untick someone to take them out. The list is in sections by where each person stands now: In This Group, Kept Out (only on a group with a rule, and only when someone is in it) and Everyone Else.
  4. Press Save. It stays greyed until you have changed something.

A line at the top of Prospecting then says what landed — Added 3 people to Sellers. Back returns you to Edit Group without saving.

What does taking someone out do?

You can take someone out two ways: untick them in Add or Remove Members, or point at their card, press its ⋯ and choose Remove — directly under Message. Both do the same thing:

The groupWhat happens
Filled by handThey leave the group and stay in your book
Filled by a ruleThey are kept out, even though they match
Readiness or ValueTheir level is cleared

Someone kept out is listed under Kept Out. Tick them there and press Save to put them back — they then stay in even if they stop matching the rule. Reset to the Rule, on Change the Rule, brings back everyone you kept out at once.

How do I upload new members from a spreadsheet?

  1. In Edit Group…, press Upload New Members.
  2. Import a Spreadsheet opens. Choose your file.
  3. Go through Check the Columns and Check the People as with any import. On Check the People, Add everyone to already shows this group.
  4. Press the import button — it counts the people, like Import 12 People.

Everyone you import goes into this group, and anyone already in your book is updated, not duplicated. The last screen says how many joined — Added 12 people to Sellers. Back, on the first screen, returns you to Edit Group. On a Readiness or Value group the door's line reads everyone in the spreadsheet becomes Hot: each person's level is set.

What is different about a Readiness or Value group?

The groups under Readiness and Value — Hot, for example — hold people by their level, so Edit Group… opens with a line saying what adding someone does: We will update the Readiness level of who you add to Hot.

  • Adding someone through Add or Remove Members or Upload New Members sets their level: on Hot, they become Hot. A person has one Readiness level, so they leave the Readiness group they were in.
  • Unticking someone, or Remove on their card, clears their level.
  • Change the Rule is greyed, with its reason underneath: This group is created based on a fixed rule. Create a new group if you would like a group with different rules.

On a Value group the line says Value level instead.

How do I delete a group?

Press the column's ⋯ and choose Delete Group. PropKaki asks Delete Sellers? and says what goes:

  • a group you fill by hand: The people stay in your book — only the group goes. Anyone left over shows under Not in a Group.
  • any other group: The group goes. Nobody is removed.

Press Delete to go ahead, or Keep It to back out. To keep the group and only stop it filling itself, take its rule away instead — Edit Group… → Change the Rule.
