What do Readiness and Value mean?

Updated 29 September 2026

The Short Answer

Readiness is how soon someone is likely to move: Hot within 90 days, Warm in 3 to 12 months, Cold later or not yet known, Dormant if contacted over a year ago and never replied. Value is how big the deal could be: Low, Medium, High or Very High. PropKaki fills both in from their profile; you can set either yourself.

They answer two separate questions, so a Hot prospect can be Low value and a Cold one Very High.

What does each Readiness level mean?

Readiness is how soon they are likely to move.

LevelWhat it meansChip
HotMoving within 90 days, or showing a sign belowGreen
WarmMoving in 3 to 12 monthsAmber
ColdNo sign of a move within a year, or too little knownGrey
DormantWould be Cold, and you last contacted them over a year ago and they have never repliedDashed outline

The dates are their target date, their lease ending, and their MOP or SSD period ending. The signs, whatever the dates: they asked to view or for an agent, have an IPA or an approved HFE, are viewing, offering or transacting, have an offer or OTP in play, have an urgency of Urgent or Within 3 months, or replied to you in the last 14 days.

Due and Closed are yours: PropKaki doesn't put anyone on either, or move anyone off. Closed shows as an outline with a tick.

Why is someone stuck at Cold?

Because they can't sell yet. For each property they own, PropKaki takes the day it is past both its MOP and its SSD period — the same dates their Profile tab shows on that home, under Properties. If the soonest of those days is more than six months away, they stay at Cold at most (Dormant, if they have gone quiet too), whatever else is on their profile. An urgency of Urgent, or a request to view, doesn't lift them.

You don't need to do anything as the day comes closer. Once it is six months away, the daily check moves them up on its own: Warm straight away, and Hot at 90 days — unless you have set their Readiness yourself.

If a level looks wrong, check the home on the Properties card of their Profile tab. It is titled by its role, such as Owns or Selling, and both dates are counted from when it was bought or completed.

What decides Value?

Two things: the kind of property, and whether they are selling, buying or renting. If the profile doesn't say which, owning a property counts as selling, and anything else as buying. Where that is all PropKaki knows:

SellingBuyingRenting
LandedVery HighHighMedium
CondoHighMediumLow
HDBMediumLowLow
  • A price expectation, budget or rent they have given is used in place of the kind of property. Without one, PropKaki reads what it can from their address.
  • Selling one home to buy the next counts both moves, so it sits at least as high as the sale alone.
  • Buying a new launch counts for more than buying resale.
  • Number of Properties Owned at 2 or more moves them up one level.

With nothing to go on, Value stays empty — a dash — and they sort last. The chips share Readiness's colours: Very High green, High amber, Medium grey, Low a dashed outline.

When does PropKaki fill them in?

PropKaki fills in both levels from what is on their profile, and places them again whenever the profile changes. It also checks every prospect once a day, because the dates it reads move on their own: as someone's MOP draws near, their Readiness moves up without anyone opening them.

Everyone gets a Readiness — Cold, if little is on file. Value can stay empty until there is something to go on.

A level PropKaki worked out and one you set look exactly the same, in the list and on the profile. What differs is how long yours lasts, which is the next question.

How do I set a level myself?

  1. Open them in Prospecting and go to their Profile tab. Readiness and Value are the first two in the strip across the top, beside Follow-Up and Status.
  2. Press the level, or Set Readiness / Set Value if it is empty.
  3. Pick a level from the list. Readiness offers all six, Due and Closed included.

To clear one, point at it, press ✕, then Remove?. It stays empty until one of the changes below.

Yours holds until something PropKaki reads for the levels changes — a price expectation or budget, a date, whether they are buying or selling, the property they own, their stage or urgency — even when you are the one who changes it. Then both levels are placed again. Their language, family or preferences don't count, and the daily check leaves yours alone. Due and Closed stay until you change them.

How do I sort or filter by Readiness and Value?

Prospecting → Individuals opens sorted by Value, highest first. Within one Value level, Readiness sets the order — Due, Hot, Warm, Cold, Dormant, then Closed — and then the name. People with no Value come last.

  • Click the Readiness or Value heading to sort by it, highest first. Click again to reverse it; the arrow shows which way.
  • Or right-click the heading and pick Highest First or Lowest First, or use Sort above the list.

The order isn't saved: reload, and the list is back on Value.

To see one level only, press Show, then Readiness or Value, and pick the level. All brings everyone back. Only levels someone in your book has are offered.
