Add or change a group's rule
Updated 24 September 2026
The Short Answer
A rule makes a group fill itself: everyone who matches shows in the column, and it stays true on its own. On a group you fill by hand, open ⋯ → Edit Group… → Add a Rule — the people you added stay in. On a group with a rule, use Change the Rule. Bin every row and Save to take the rule away.
People you put in by hand stay in whatever the rule says — the rule decides everyone else.
What does a group's rule do?
A rule makes a group fill itself. The screen puts it in one line: Everyone who matches all of these shows in the column — it stays true on its own. When someone's profile starts to match, they appear in the column; when it stops matching, they leave — unless you put them in by hand.
On the Groups board, a group with a rule has a small funnel beside its name. The rule itself is not written under the column any more. To read it, press the column's ⋯ → Edit Group…: Change the Rule comes first, with the rule spelled out underneath.
How do I make a new group with a rule?
- Press New Group at the end of the Groups board, or open Prospecting → ⋯ → New Group.
- Type a Name, and choose where it sits under Grouped By.
- Open Fill. It starts on Manual Fill — an empty column you drag people into. Choose Auto Fill. (Opened from Prospecting's ⋯, there is a third choice, Upload Contacts.)
- Build the rule under Who’s In It, and watch the count under it — 24 people would be in this group right now.
- Press Create Group.
If you started New Group with people already ticked, Auto Fill is greyed. Make it with Manual Fill, then give it a rule with Add a Rule — the people you ticked stay in.
How do I build the rule?
The rule is a box of rows, and each row reads as one question — Property type is Condo:
- Choose Something… picks what to ask about. Each option says what your book holds — 12 to choose from, or Exploring only · 15 when there is one answer.
- Choose… picks the value. + or adds another value to the same row: a person then matches either.
- Add Something Else adds a row, joined by and: a person must match every row. Cancel, in the same place, backs out of a row you haven't filled.
- The × on a value takes that value off. The bin at the end of a row takes the whole row off.
Something you have already asked about is not offered twice.
How do I add a rule to a group I fill by hand?
- Press the column's ⋯ and choose Edit Group… from the menu.
- Press Add a Rule — its line reads let it fill itself from now on.
- Build the rule. The count includes the people already in the group: 32 people would be in this group right now.
- Under it: The 8 people you added stay in. The rule only adds more.
- Press Add the Rule.
The group now fills itself, and Change the Rule becomes its first door. Back returns you to Edit Group without saving. A Readiness or Value group has no Add a Rule — its Change the Rule is greyed, because that rule is fixed.
How do I change the rule?
- Press the column's ⋯ → Edit Group… → Change the Rule.
- The rule opens as rows. Change them the same way you built them.
- Watch the count: 87 people are in this group right now — or 1 person is.
- Press Save.
If you have added people by hand or kept anyone out, a line says so — You added 3 by hand, and kept 2 out — with Reset to the Rule beside it. Reset lets the rule decide again: everyone you kept out comes back if they match, and the people you added by hand stay.
Why does my rule open as a sentence?
Some rules can't be shown as rows — the ready-made Never Messaged group is one. Change the Rule then shows the rule as a sentence, with This one was written with the advanced editor. Open it to change it. underneath.
Press Advanced to open the full editor: one line per condition, and Add a Condition for another. Save stays greyed until you have opened it. A rule like this can be changed in Advanced, but it can't be taken away — the last condition always stays.
How do I take a rule away?
- Open the column's ⋯ → Edit Group… → Change the Rule.
- Press the bin on every row, then Save.
- PropKaki asks Remove the rule? and says what happens: The 38 people in Sellers stay in it. From now on you add and remove them yourself — someone new won’t turn up on their own.
- Press Remove It — or Keep the Rule to leave it as it was.
From then on the group no longer fills itself. Everyone who was in it stays, and Add a Rule is back in Edit Group… for when you want one again.
