Choose who your assistant answers

Updated 20 October 2026

The Short Answer

Open Extensions then Reply Assistants. Each row is a who and a mode: Everyone and New Leads are always there, and New Assistant adds one for a group or one client. A person's own row comes first, then their group, then New Leads, then Everyone.

Your assistant already answers everyone; a row is how you give some people a different answer.

What is on the list?

Open Extensions → Reply Assistants. Each row has a switch, its mode as a pill, who it is for, where it answers, and your Strategy if you wrote one.

RowWho it covers
EveryoneAnyone without a row of their own
New LeadsAnyone who reached you by themselves, until you reply or add them to a group
A groupThe people in that group
One clientThat one person

The mode pill says what it does: Secretary, Advisor or Auto-Reply. The foot counts how many are on, such as 3 of 4 on.

How do I add a row for a group or a client?

  1. Press New Assistant at the top right.
  2. Under Who, open Groups or Individuals and pick one. A group or a person that already has a row is not offered again.
  3. Under Mode, pick Secretary, Advisor or Auto-Reply.
  4. Add a Strategy if this group needs handling differently — it is sent after the mode's own.
  5. Press Add.

The row starts on. Press a row to change it later, then Save.

Which row answers someone who fits two?

One order, every time: a person's own row first, then their group's, then New Leads, then Everyone.

So a client with their own row switched off stays quiet even if their group is on, and someone new answers as New Leads until you reply to them or put them in a group.

What is the warning when I save?

When a new row reaches people another row already answers, PropKaki asks before saving. The title names how many — Warning: three people in Buyers already have a reply assistant — and lists each one with where they are now.

  • Exclude Them keeps their current one.
  • Override answers them with the new row instead.
  • Cancel saves nothing.

Your choice is kept for each person. If two group rows still share people, the foot says so — N people are in two rows.

Where does each row answer?

On your WhatsApp line, every row answers the people it covers.

On My Page and your website everyone starts as new, so only New Leads is answered there. To change what a visitor on your page meets, change the New Leads row.

Each place has its own switch, under ⋯ → Configure Assistants → Where Clients Meet It.

How do I switch a row off or remove it?

Flip the switch at the start of the row, or use Turn Off inside it. The row stays on the list and its people are left to you.

The ⋯ on a row has Turn On/Off, Edit and Delete. Everyone and New Leads are always on the list; you can switch them off, not remove them.

Still Stuck?

Ask PropKaki in the chat — it answers most of these directly — or message the team.
