Why do my Google appointments say Busy?

Updated 25 October 2026

The Short Answer

Google gives PropKaki the times you are busy, not the appointments' titles, so each Google appointment reads Busy in your Schedule. Outlook appointments show their titles. Either way they are grey, marked From Google or From Outlook, updated every 10 minutes, and edited in Google or Outlook, not in PropKaki.

A Busy block is still a real appointment: the time is blocked for you and for your assistant.

Why Busy and not the title?

When you connect, PropKaki asks Google to see when you're busy — the start and end of each appointment, and nothing else. With no title to show, every Google appointment reads Busy. The time is blocked exactly as if it had a name.

Outlook shares titles and locations from the start, so an Outlook appointment shows its own title, such as Bank loan appointment.

How do I tell a synced appointment from my own events?

A synced appointment is always grey, whatever colour it has in Google or Outlook, and its block carries one more line: From Google or From Outlook, beside that calendar's logo. The same line shows in Upcoming. In Month view it is a grey dot.

Your own events keep the colours you gave them.

Can I change or delete it in PropKaki?

No. Click it and a window titled From Google Calendar or From Outlook Calendar shows When and, where there is one, Location. It has two buttons, Close and Edit in Google Calendar or Edit in Outlook, and no Save or Delete.

Edit in Google Calendar opens that day in Google Calendar. Change it there and the Schedule follows on the next check.

In Team view, a teammate's synced appointment shows Whose it is and Close only.

How quickly do changes show up?

PropKaki checks your calendar every 10 minutes. A new appointment appears, a moved one moves and a deleted one goes, all at the next check.

It reads from 30 days back to 180 days ahead, from your main calendar only. Appointments you mark as free in Google or Outlook, and cancelled ones, are left out. Events in the PropKaki calendar never come in as Google or Outlook appointments, so nothing shows twice. A change you make to one of them there, its description included, updates the PropKaki event instead, and an event you add there becomes one of your own PropKaki events, a repeating one once for each time it happens.

Does PropKaki keep the details of my appointments?

For each appointment PropKaki keeps its title (or Busy), its time and its location, so your Schedule can show it. It never keeps the description, the notes or who is invited. (Events in the PropKaki calendar are your own PropKaki events, so their description is kept as their Notes.) Disconnecting the card removes every one of these copies from your Schedule.
