What is an Open lead?

Updated 21 October 2026

The Short Answer

When you host a team, each new lead in your account arrives Open: the team sees it in Team view, and anyone with Can Reply in your Inbox can answer. Nobody gets an extra alert. It stops being Open when someone hands it to a teammate, or when it is kept with your own name in Assign to ▸.

Open is just a tag on the host's new leads; it changes who can see them, not where they live.

Which leads arrive Open?

Only in the host's account, and only someone new arriving from:

  1. a Meta lead form;
  2. a first WhatsApp message to the host's number;
  3. a first email;
  4. a first Messenger or Instagram message;
  5. details the host's reply assistant took down.

Not Open: people you import or add yourself, someone already in the book filling a form again, leads from before the team, and any member's own leads.

Where do I see the Open tag?

In Team view only, beside the name tag: on the Inbox row, in the chat's header, and in Prospecting's name cell. There is no Open filter; the tag is how you spot them.

Who can answer an Open lead?

Anyone with Can Reply or Full Access in the host's Inbox. The reply goes out from the host's number on the host's credits, and drafts write as the host. Inside PropKaki each message is signed with whoever sent it.

Who is alerted about an Open lead?

Only the host, on their own Alerts, like any new lead. There are no team alerts: teammates find Open leads by looking at the Team Inbox.

How does a lead stop being Open?

Both take Full Access in the host's Inbox or Prospecting. Right-click the lead in Team view and pick Assign to ▸:

  • the host's own name, first above a line — it stays in the host's account and the tag goes. Nothing moves.
  • anyone else's name — it is handed into their account. See Hand a client to a teammate.

To keep one yourself as a member, pick your own name. With several ticked, Assign All to ▸ puts the host first whenever any is Open; that keeps the Open ones.

Still Stuck?

Ask PropKaki in the chat — it answers most of these directly — or message the team.
