How do I match receipts to my card statement?

Updated 23 October 2026

The Short Answer

Open the Agent Expenses Tabulator from Workspace → Free Tools → Operate, press Add Files, and add your card statement and receipt photos in any order. It matches each receipt to its charge and lists the charges with no receipt. You decide what to claim. Each photo or statement page it reads is 1 credit.

Add what you have, when you have it — a receipt can wait for its statement, and a statement for its receipts.

Where is it?

Workspace → Free Tools, then the Operate tab, then Agent Expenses Tabulator. It opens the tool's own page in a new tab.

Anyone can look around first. Until your own book has something in it, it shows Example: a month in an agent's book, and every tab works on that. Adding your own files needs a PropKaki account — it asks you to sign in when you try.

Which statements can it read?

OCBC credit card statements are read straight from the bank's own PDF. For any other bank, use the CSV export from your banking app.

Every statement is checked against the total printed on it before a single row enters your book. If it doesn't add up to the cent, nothing is imported and nothing is charged. A statement it can't read is refused the same way, and so is a password-protected PDF.

How do I add my statement and receipts?

  1. Press Add Files.
  2. Pick one file — your statement, a receipt photo, or a PDF of scanned receipts.
  3. If the file has more than 4 pages, it shows the price before it reads anything: press Read 12 Credits for a 12-page file, or Not Now.
  4. Add the next file. The order does not matter.

A receipt whose statement is not in yet waits under Waiting, and matches itself the moment that statement arrives.

What do the tabs mean?

It matches a receipt to a charge by what is printed on both: the amount to the cent, the transaction date and the card's last four digits — and the approval code when both carry one. The tabs along the top sort the result, each with its count:

TabWhat is in it
EverythingEvery row in your book
MatchedA receipt paired with its charge
Needs YouA row you have not decided on yet
No ReceiptA charge with no receipt yet
WaitingA receipt whose statement is not in yet

When more than one charge fits a receipt, it is shown with both and you choose. The line under the book counts the charges with no receipt and what they add up to — the money you are not claiming.

Does it decide what I can claim?

No — you do. Each row has a Claim? column with Yes, No and ?. Every row starts undecided until you say Yes or No, and the record shows that you made the call — which is what an IRAS query needs to see.

The total marked claimed under the book counts only the rows you said Yes to.

What does it cost?

1 credit for each photo or statement page it actually reads — receipts and statements alike — charged only after it succeeds. A page it can't read costs nothing.

Matching, categorising and exporting are free.

How do I get it out for my accountant?

Once your book has rows of its own, three buttons appear under it: Download the Ledger, IRAS Summary and Audit Bundle.

Each one downloads at once, and a copy is saved to your Files so you can forward it from anywhere. Exporting is free.
