The Short Answer

Open Extensions then Connectors and use the Zoho Mail card. Zoho needs an app password, not your Zoho password, and IMAP/SMTP access switched on in Zoho Mail settings. Zoho's free plan does not let outside apps connect at all — Mail Lite or above does.

Zoho is common on agency domains. If you are not sure whether your address is on Zoho, ask whoever set up your work email.

Will my Zoho plan let PropKaki connect at all?

Worth checking before you start, because it is the one thing no amount of retyping will fix. Zoho's free plan does not let outside apps connect — Mail Lite or above does. Older Zoho accounts that already had the access keep it.

The same limit can bite one half of the mailbox on its own. If sending works and replies do not, the card says so in as many words: Zoho's free plan doesn't let outside apps read mail. Mail Lite or above does. Until the plan changes, replies still arrive in Zoho as normal — they just will not appear in Chats.

How do I connect Zoho Mail?

  1. Open Extensions → Connectors and open the Zoho Mail card.
  2. In Zoho Accounts, go to Security → App Passwords → Generate.
  3. Name it PropKaki and copy the password.
  4. In Zoho Mail settings, make sure IMAP/SMTP access is on.
  5. Back in the card, fill in your name as clients see it, your Zoho address, and paste the app password.
  6. Press Save & Send Me a Test.

Why won't my Zoho password work?

The App password box wants the password Zoho generates under Security → App Passwords, not the one you sign in to Zoho Mail with. The account password will not connect.

Step 4 is the one most often skipped: IMAP/SMTP access is a separate switch in Zoho Mail settings, and with it off you can hold a perfectly good app password and still get nowhere. If the card refuses and your plan is Mail Lite or above, that switch is the next thing to look at.

How do I check that sending and replies are both working?

A mailbox does two jobs and each is reported on its own. Open the Zoho Mail card and press View Status: Sending says whether the last test worked, Replies says when the mailbox was last read. PropKaki checks for replies every 5 minutes.

This is worth doing on Zoho in particular. A plan limit can leave sending healthy while reading fails, and a green Connected badge is only ever about the send. When the receive half has something to report, a second badge appears beside it.

Does PropKaki read the rest of my inbox?

PropKaki looks through your inbox for mail from people in your list and keeps only that. Everything else is passed over and never stored. That is what lets a client who emails you out of the blue land in Chats rather than sitting unread.

You can turn it off. Find client mail in your inbox sits in the Zoho Mail card, above Save & Send Me a Test when you first connect and in the same place whenever you reopen it. Off, PropKaki picks up replies to messages it sent and nothing else.

On a free Zoho plan neither setting has anything to act on, because nothing can be read either way.

Is there a size limit on what I attach?

PropKaki does not hold back an attachment on this mailbox for being large. If you have read about a 3 MB limit, that one is Microsoft's and it applies only to an Outlook mailbox signed in with Microsoft.

Zoho's own sending limits still apply, as they do when you send from Zoho Mail yourself, and they go up with the plan.

For a large brochure, WhatsApp never carries the bytes at all — so a file that is awkward by email is usually straightforward there.
