Which email provider should I connect?

The Short Answer
There are four email cards: Gmail, Outlook, Zoho Mail and Other Email. Pick the one hosting the address you already send from. Gmail and Zoho need an app password, Outlook signs you in with Microsoft, and Other Email takes your host's own details — but it can only send, never bring replies back.
Pick by where your address lives, not by which sounds easiest. There is one thing worth knowing before you choose, though: only three of the four can bring a reply back into Chats.
What are the four options?

All four send the same way: mail goes out from your address, with your name on it. They differ in what they ask for, and in whether anything comes back.
Which one is mine?
Whichever hosts the address your clients already have for you.
A @gmail.com address is Gmail. A work address on Microsoft 365 is Outlook, even if it is not @outlook.com. A Zoho-hosted domain is Zoho Mail.
An agency address is Other Email only when the agency runs its own mail — plenty of agency domains sit on Google or Microsoft underneath, and those are the Gmail and Outlook cards. Worth asking whoever set up your work email, because it decides whether replies can come back.
Which cards can bring replies back into Chats?
A mailbox does two jobs, and they are not a package. Sending works on all four. Reading replies back into Chats works on three.
Other Email sends only. Your clients still reply and you still get them — they arrive in your own mail app, where they always did — but they will not appear in Chats alongside your WhatsApp conversations.
Zoho depends on your plan: the free plan does not let outside apps read mail, and Mail Lite or above does.
If replies landing in Chats is the reason you are connecting at all, that is the column to choose on.
Do I have to give PropKaki my password?
Your account password is not the answer on any of the four.
Outlook is the only one with no password at all: Microsoft signs you in, and PropKaki never sees it.
Gmail and Zoho Mail want an app password — a separate code you generate at Google or Zoho and can withdraw on its own. Your everyday sign-in password will not connect on either.
Other Email takes an app password too where your host offers one, and your mail password where it does not.
Can I connect more than one?
You have one connected mailbox at a time. Saving a different card does not add a second one, it moves you across — and it tells you first: you send from Gmail today. Saving here switches your email to Zoho Mail.
So connect the address you actually watch. Sending from one nobody opens is worse than not connecting at all, because the client answers into silence.
Switching later costs nothing. Messages already sent, and replies already here, stay where they are.
