What is an automation?

The Short Answer

An automation is a standing instruction you leave with PropKaki — who to reach, what to say, and when. It runs on your schedule and stops where you tell it to. Every new automation arrives switched off, so nothing starts happening until you turn it on.

You already do this by hand: chase the people who went quiet, welcome new leads, send a market note each month. An automation is that habit, written down once.

What does an automation actually do?

On its schedule it works out who is due, then does exactly as much as you allowed it to.

That last part is a setting called Approval, and it has four levels: Notify Only, Confirm Before Drafting, Approve Before Sending, and Send Automatically. A new automation arrives on Confirm Before Drafting — it asks you first, and writes the drafts when you say go.

Where do I find them?

Open Extensions → Automations.

You will see a list on the left and a panel on the right. The list is grouped under Running and Not Running Yet. Click any row and its settings open in the panel beside it.

Does it start running the moment I make one?

No. Every automation arrives switched off, and sits under Not Running Yet until you flip its switch.

When you do, a check opens first — how many people it will reach, on which channel, and what it will cost. Nothing has happened yet at that point.

How is this different from an alert?

An automation reaches out to your clients. An alert taps you on the shoulder.

If what you want is to be told that someone replied, you want an alert — Extensions → Alerts. If what you want is for the follow-up itself to happen, you want an automation.
