How do I choose who an automation writes to?

Updated 1 September 2026

The Short Answer

Who has four choices: Everyone, New Leads, Groups and Individuals. Groups and Individuals expand so you can pick particular rows from your book. The turn-on check then tells you exactly how many people that came to, and how many of them can actually be reached.

Step two of four. Pick broadly here — the check at the end tells you what it came to.

What are my four choices?

In the panel, set Who:

  • Everyone — every contact in your book.
  • New Leads — people who have arrived and not yet been worked.
  • Groups — expands to your own groups.
  • Individuals — expands to your own contacts, picked by name.

How do I make a group to point at?

Groups live in Prospecting. Make one there, and it appears under Groups here.

If you pick Groups and have not made any, the automation has nobody to write to and will say so at the turn-on check rather than running empty.

How do I know how many people that is?

Flip the row's switch. The check that opens counts the audience for real, from your book as it stands at that moment.

It splits that count 3 ways: how many are reachable on your first channel, how many fall to your fallbacks, and how many cannot be reached at all — no number and no email.

Who gets left out?

Two groups.

People with no phone number and no email on file are counted as unreachable at the check — they are in your audience but there is no door.

Anyone who replied unsubscribe is out permanently, on every automation, whatever this one says.
