How do I choose when an automation runs?

The Short Answer
Every automation is a sequence, and its schedule decides when each person starts it — and, if it repeats, when they start again after finishing. Set it in When It Starts, on the top node of the automation's editor: a start date, a time, one of eight repeats, or On Command, which runs when you type its command.
The schedule only starts people. Once someone is in, each step waits its own number of days.
Where do I set the schedule?
- Open Extensions → Automations and click the automation.
- Press Edit at the foot of the panel that opens on the right.
- Click the top node of the drawing — it names who the sequence goes through, with Starts Every Day · 9:00am or similar under it.
- Click When It Starts in the panel beside it. A small editor opens with Trigger, Start, Time and Repeat.
- Press Save Changes.
It worked when the line under the automation's name in the list reads the new schedule, such as Starts Every Week · 9:00am.
A new automation from Create a New One starts on Every Day at 9:00am with no start date. If the automation was on, saving switches it off — turn it on again and the check shows the new schedule.
What does the schedule decide?
It decides when someone starts the sequence and, if it repeats, when they start it again once they have finished. It does not space the steps: each step waits its own Then Wait, from 1 to 183 days.
The Start row changes what the schedule counts from:
- No start date — the row reads Pick A Date, and the schedule counts from the day each person starts. Set to every 30 days, it comes round 30 days after that person's own start.
- A start date — it counts from that date for everyone.
What repeats can I choose?
Repeat offers eight: Once Only, Every Day, Every Weekday, Every Week, Every 2 Weeks, Every Month, Every 3 Months and Every Few Days.
- Every Few Days adds an Every box: type any number from 1 to 365.
- Every Week and Every 2 Weeks add an On row of seven day buttons, so you can pick the days it lands on.
- Once Only with no start date takes each person through once.
What time of day does it run?
Time offers ten hours: 7:00am, 8:00am, 9:00am, 10:00am, 11:00am, 12:00pm, 2:00pm, 5:00pm, 7:00pm and 9:00pm. It is Singapore time, and nobody is started before that hour — a 2:00pm automation starts nobody in the morning.
Each person gets each step once per round, however often the automation is checked in between, so one left on over a long weekend does not double up when you come back.
How do I make it go round again?
Click the last node of the drawing — it reads It stops here or Round again every month — to open When It Ends:
- Keep going until I turn it off — switched on, each person starts again at the schedule's next turn after they finish, with no limit.
- Number of times to run this flow — with that switch off, type 1 to 20.
A new sequence runs once through. On Once Only there is nothing to repeat, and the panel says Once Only runs it through once. Pick a repeating schedule to run it again. The list row shows your choice as Once Each or 3 Rounds, and adds nothing when it keeps going.
What does On Command mean?
Set Trigger to On Command and the Start, Time and Repeat rows go; a Command box takes their place, already named /rule1 (then /rule2, and so on). Rename it with up to 24 letters, numbers or underscores — /leases, say.
Message PropKaki on WhatsApp or Telegram and type that command, and the automation runs straight away for whoever it names. Your approval setting still applies.
PropKaki refuses a command it already answers itself, such as /start or /menu, and one another of your automations uses. The list row then reads Starts When You Send /leases.
