Are PropKaki's filled-in forms legally valid?

Updated 26 September 2026

The Short Answer

Yes. PropKaki types your entries onto the official form and leaves its terms alone, so you get the same form you would by filling it in by hand, with the same standing. The agreements among them, such as the CEA estate agency agreements and the tenancy agreements, bind the parties once they sign.

The legal weight sits in the form's own terms, and PropKaki fills in only the blanks.

Why is a PropKaki form the same as the official one?

PropKaki starts from each form's official template and places what you type into its blank fields. The prescribed wording, layout, footers and page numbering stay exactly as the official version. Only the blanks change, and where the form says to delete what does not apply, the option you did not pick is struck through.

So the document you download is the form you would have filled in by hand, typed instead of handwritten. It comes out as a PDF, or as a Word document for the customer due diligence forms.

Does a signed PropKaki form bind the parties?

An agreement binds the parties once they sign it, exactly as one filled in by hand would. The checklists are records: the agency signs them and keeps them for at least 5 years.

PropKaki gives you the completed form with the signature lines blank, except on the Option to Purchase, the Sale and Purchase Agreement and the lease checklist, where you can type a name on a signature line or leave it blank to sign by hand. Sign by hand after printing, or with your own e-signature tool, such as DocuSign or Adobe Sign, before you share it.

Which forms are prescribed, and which are industry templates?

The Paperwork Assistant holds 31 forms in five groups. They do not all carry the same status.

DPTWG is the Digitalised Property Transactions Workgroup.

Is the Paperwork Assistant an official government tool?

No. PropKaki is an independent tool, not a CEA or government service.

The templates are CEA's agreements and checklists, the DPTWG's sale and tenancy templates, and the customer due diligence forms (Annexes E and F). PropKaki gives you an easier way to fill them in, and it does not change what they say.

Where do I fill one in, and what does it cost?

The Paperwork Assistant page is free to use, with no sign-up. Pick a form, fill in the details and download the completed document. In the app it is under Workspace → Free Tools, then the Operate tab.

Asking PropKaki to fill a form for you in a chat is different: that costs 10 credits a document. How do I fill in a property form? walks through it step by step.
