Which WhatsApp CRM Actually Works for a Singapore Property Agent?

Every product in this category is shaped by one rule almost none of them explain: after 24 hours of silence you cannot send a client a free-form message at all. Understand that rule and the pricing, the features and the limits all make sense.

Quick Summary

A WhatsApp CRM connects your business number so conversations become records. All of them are governed by Meta's 24-hour window: replies within a day of a client writing are free, anything later needs a pre-approved template and is billed. What none of them solve is knowing what to say — they hold only what you typed. PropKaki is the market-aware option: it checks listings, transactions and property dates for each client, drafts from what it finds, sends on your own number, and stays silent when nothing has changed.

Which WhatsApp CRM Actually Works for a Singapore Property Agent?

A client messages you at 9pm on Tuesday. Anything you send back before 9pm Wednesday is free and can say whatever you like.

Send on Thursday and you are in a different world: no free-form message, only a template Meta approved in advance, and Meta bills you for it.

That single rule explains almost everything odd about WhatsApp CRM products — why they price the way they do, why broadcasts are never quite unlimited, why "automation" is so often a paid add-on. Almost none of them put it on the front page. It is the first thing you should understand.

This page is written for a Singapore property agent: the rule, the products, and why PropKaki — the market-aware CRM for agents here — treats that 24-hour window as a rule to work with rather than an error to hit.

1

What is a WhatsApp CRM, and which kind do you need?

Key Takeaway

A WhatsApp CRM connects your business number so conversations become searchable records. There are two kinds — one that opens WhatsApp for you to press send, and one that sends programmatically — and most solo Singapore property agents only need the first.

A WhatsApp CRM turns chat threads into a working record: who this person is, what they want, what you last said, when to follow up.

The important split is in how it sends:

How it sendsWhat it enablesWhat it costs
Click-to-chatopens WhatsApp with the message prefilled; you press sendfaster manual messaging, saved templatesusually nothing extra
Official platformsends programmatically through the WhatsApp Business Platformbroadcasts, auto-replies, sequencessoftware plus Meta's per-conversation charges

For a solo property agent, click-to-chat is very often sufficient, and the industry rarely says so because there is no revenue in it. You are the only person replying, your volume is human-scale, and pressing send yourself takes a second.

You need the official platform when you want messages to go out without you — an auto-reply to a new enquiry at 2am, or one broadcast reaching a few hundred past clients. Those are real capabilities. They are also where the second cost appears.

Everything else on this page follows from one rule, so it comes next.

2

What is the 24-hour window, and why does every WhatsApp CRM revolve around it?

Key Takeaway

Meta's 24-hour window is the rule every WhatsApp CRM is shaped by: when a client messages you, you can reply freely and at no charge for 24 hours. After that you may only send a template Meta approved in advance, and Meta bills you for it.

This is the rule that shapes the whole category, and understanding it will save you money and disappointment.

Inside the window. A client writes to you. For the next 24 hours you can send whatever you like, in whatever words you choose, free. SleekFlow states it plainly on its own pricing page: customers message you first, reply for free within 24 hours.

Outside the window. You can no longer send a free-form message. You may only send a message template you submitted to Meta in advance and that Meta approved — and that conversation is billed by Meta, separately from whatever you pay for software. respond.io says so directly in its pricing FAQ: WhatsApp fees are not included in any subscription, because Meta charges them based on your usage.

Four consequences that explain things you have probably noticed:

"Unlimited broadcasts" is never unlimited. Unlimited by the software, billed by Meta.

Speed of reply is worth real money. A follow-up sent the same day costs nothing. The same message on Thursday costs money and has to be pre-approved.

Templates take time. They must be written and submitted before you need them, so the day you want to send something is the wrong day to start.

Approval is not automatic. Meta reviews templates against its own rules, and a badly written one gets rejected.

The 24-hour window is the most valuable free thing in your business. Almost every agent lets it close.

Check the current charging model on Meta's own pricing page — it has changed more than once and will change again.

3

Will connecting a CRM get your WhatsApp number banned?

Key Takeaway

Connecting a CRM through the official WhatsApp Business Platform will not get your number banned. The real risk comes from unofficial tools that automate WhatsApp Web or a logged-in session in the background, which breach Meta's terms.

This is the question agents ask least often and should ask first, because your number is your business.

There are two ways a tool can send WhatsApp messages for you.

Officially, through the WhatsApp Business Platform, with the vendor operating as an approved provider. Your number is registered with Meta for business messaging, the sending is sanctioned, and templates go through Meta's own approval.

Unofficially, by driving WhatsApp Web or a logged-in phone in the background and pretending to be you typing. These tools exist, they are cheap, and they breach Meta's terms of service. Numbers using them get restricted or banned, and there is no appeal worth having when the account is your entire client list.

The distinction is easy to check, and the authority is Meta's own terms rather than any vendor's marketing. Providers operating officially say so prominently, because it is their main competitive advantage. Tools that avoid the subject, or that ask you to scan a QR code to link a session they then automate in the background, are telling you what they are.

Two questions before you connect a number to anything. Are you an approved provider on the WhatsApp Business Platform? And does my number stay mine if I leave — can I take it back and use it normally?

A cheap tool that costs you your number is the most expensive software you will ever buy.

4

Which WhatsApp CRMs actually fit a property agent?

Key Takeaway

Privyr is built for individual salespeople; respond.io and SleekFlow are built for teams sharing a queue, and their prices say so. All of them sit on top of Meta's charges, not instead of them.

Three products a Singapore agent will keep encountering, with prices read off each vendor's own page on 20 August 2026:

Entry priceBuilt forWhatsApp sending
PrivyrUS$0 Free Forever · Pro US$20/user/mo billed annuallyindividual salespeopleclick-to-chat; automation is a paid add-on
respond.ioStarter US$79/mo (5 users) · Growth US$159/moteams sharing one queueofficial platform
SleekFlowPro AI SGD 199/mo (3 users) · Premium SGD 479/moomnichannel teamsofficial platform; number is an add-on

Read the last column against the first. Privyr's WhatsApp Auto-Responder, Campaigns, Automated Sequences and Contact Import are all listed as paid add-ons on top of its paid plans — so the cheapest entry to this table does not include the WhatsApp automation you might assume you were buying. The full breakdown is here.

The two team products are excellent and are solving a problem a solo agent does not have — routing one queue among several people. Their pricing model gives it away: billed per workspace with users included.

And on all four, Meta's charges are separate. When you compare monthly prices you are comparing software, not messaging.

5

What does a WhatsApp CRM not solve, and what does?

Key Takeaway

No WhatsApp CRM solves knowing what to say — connecting your number makes replies faster, not more worth sending. PropKaki is the market-aware exception: it checks what changed for each client and drafts from that.

Connect your number to any product here and something real improves: conversations become searchable, contacts stop living only in your head, and replying gets faster. That is worth having.

What none of it changes is the harder half. On the Monday your list shows fourteen people overdue, the CRM can tell you they are overdue and can draft you a message — but the message is built from what you typed about them, because that is all the system holds. You get a well-organised, promptly delivered "just checking in", which is the message clients ignore.

PropKaki is the market-aware one, and that is the whole difference. For each person it checks what has actually changed since you last contacted them — new listings on their brief, transactions in the block they are selling, competing supply, area movement, and the clocks running down on what they own. The draft is written from those findings, in your voice, and if nothing has changed it produces no message at all.

It sends through your own WhatsApp business number using your own Meta-approved templates, with no PropKaki branding a client can see, and it treats the 24-hour window as a rule rather than an error: in-window sends go free-form, cold ones use an approved template, and where neither is available it tells you why instead of failing quietly.

The scope, plainly: it does not score or rank your leads, so it will not tell you who to message first. No mobile app, no image reading, and the market check runs when you press it rather than overnight. It is free to agents verified against the CEA public register.

6

How should you choose between them?

Key Takeaway

Choose a WhatsApp CRM on three questions in order: do you need messages to go out without you, does your number connect through the official platform, and what leaves with you if you go. PropKaki sends on your own number and exports your whole book.

Do you need messages to send without you? If the honest answer is no — you are one person, you reply yourself, and you do not broadcast — then click-to-chat is enough and you should not be paying for the official platform at all. That decision alone can save a few hundred dollars a year.

Does it connect officially? Non-negotiable if the answer above was yes. Ask the vendor directly, and treat evasion as an answer.

What leaves with you? Two sub-questions, and most agents ask neither until it is too late: can you export the contacts in full, and does the conversation history come with them? A name without its context is a name you will not call.

Then, and only then, the ordinary comparisons — price, interface, whether it knows anything about property.

One pattern worth naming, because it is the most common good outcome: many agents end up with their agency's app for agency work, and one modest personal tool for the relationships they intend to keep. The second one is the one that has to be portable.

7

What is the biggest mistake with a WhatsApp CRM?

The biggest mistake with a WhatsApp CRM is buying broadcast capability and using it: one generic message to your whole list costs money, trains people to ignore you, and risks your number. PropKaki is built the other way — it only writes when something has changed for one person.

The feature that sells these products is the broadcast: one message, hundreds of past clients, cold contacts revived. It is the demo that closes the sale.

It is also the fastest way to damage the asset. Three reasons, in ascending order of seriousness.

It costs money. Every one of those conversations is outside the 24-hour window, so every one is billed by Meta.

It trains people to ignore you. A message that could have been sent to anyone gets read as marketing, because it is. The next one gets less attention, and the one after that gets none.

It puts your number at risk. WhatsApp users report messages they did not want. Enough reports and quality ratings fall, sending limits tighten, and the number that is your entire business gets restricted.

The alternative is not sending less. It is sending things that could only have been sent to one person — a transaction in their block, a listing that matches what they actually asked for, a date on their own property. Those get replies, and replies reopen the free window.

One message to four hundred people is an expense. Four hundred messages that each fit one person is a business.

8

Do you need the WhatsApp Business API to use a WhatsApp CRM?

Key takeaway

You need the WhatsApp Business API only if you want messages to send without you. Tools that simply open WhatsApp with a message prefilled need no API, no approval and no per-message charges.

No, for the simpler kind. Many CRMs integrate by generating a link that opens WhatsApp on your phone or desktop with the message already typed — you read it and press send. There is no registration, no approval and no Meta charge, because as far as WhatsApp is concerned it is just you messaging someone.

You need the WhatsApp Business Platform — commonly called the API — when messages must go out on their own: automatic replies to new enquiries, broadcasts, scheduled sequences. That means registering your number for business messaging through an approved provider, getting templates approved, and paying Meta per conversation on top of your software.

For most solo property agents the first is enough, and the second is a cost worth deferring until you can name the thing it will do for you.

One practical note: a number registered on the Business Platform behaves differently from an ordinary WhatsApp Business app account. Ask any vendor what happens to your number if you stop using them.

9

How much do WhatsApp messages cost a property agent?

Key takeaway

Replies within 24 hours of a client writing to you are free. Conversations you start after that are charged by Meta at rates that vary by country and message category, and are billed separately from your software.

Meta charges on a conversation basis rather than per message, and the rate depends on where the recipient is and what category the conversation falls into — for example, whether it is a service reply, a utility notification or marketing. Rates have been restructured more than once, so any figure quoted in an article ages badly.

What matters practically is the shape of it:

  • Replying inside the 24-hour window after a client messages you: free.
  • Starting a conversation outside that window: charged, and it must use a pre-approved template.
  • The charge is Meta's, not your software vendor's, and it appears on top of any subscription. respond.io and SleekFlow both state this on their own pricing pages.

Check the current rate card on Meta's WhatsApp Business Platform pricing page before planning any broadcast, and be aware that some providers add their own margin on top of Meta's rate.

10

Can you broadcast to your whole client list on WhatsApp?

Key takeaway

Technically yes, through the official platform with approved templates. Whether you should is a different question, and in Singapore it also engages your Do Not Call and data protection obligations.

The mechanics are straightforward: an official-platform provider, approved templates, and a list. Every recipient is a billed conversation.

Three things to weigh before you do it.

The regulatory question. Marketing messages sent to Singapore telephone numbers engage the Do Not Call obligations, and how you obtained and use the personal data engages the Personal Data Protection Act. Those duties sit with you, not with the software. Check the current rules with the Do Not Call Registry and the PDPC.

The deliverability question. Recipients who did not expect the message report it, and enough reports affect your number's quality rating and sending limits.

The commercial question. A message written for everyone is read as marketing by everyone. In a relationship business, the version that works is the message only one person could have received.

A reasonable middle path: broadcast rarely, to people who genuinely expect to hear from you, about something genuinely specific to their situation — and treat anything else as an expense with a downside.

Methodology and sources

Key Takeaway

Prices were read off each vendor's own page on 20 August 2026. Meta's message charges are described by mechanism rather than by rate, because the rate card changes.

What we did. On 20 August 2026 we opened the public pricing pages of Privyr, respond.io and SleekFlow's Singapore site and recorded plan names, prices, currencies and stated limits verbatim, including Privyr's listing of its WhatsApp features as paid add-ons and respond.io's statement that WhatsApp fees are not included in any subscription.

What we deliberately did not do. We did not quote a per-conversation rate for Meta's charges. The rate card varies by country and conversation category and has been restructured more than once; a number printed here would mislead. The mechanism — free replies inside the 24-hour window, approved templates and charges outside it — is stable, so that is what we describe. Check the current rates on Meta's own page.

On the ban question. The distinction drawn between official WhatsApp Business Platform providers and unofficial tools that automate a logged-in session reflects Meta's own terms. We do not name any specific unofficial tool, and we did not test any.

On PropKaki. This page is published by PropKaki. Its limitations are stated alongside its capabilities — no lead scoring, no mobile app, no reading of images, no scheduled scanning, consent and Do Not Call recorded rather than enforced, and verified CEA agents only. No claims are made about agent numbers, message volumes, delivery rates or conversion.

Regulatory points are as of 2026 and change. Verify obligations with the PDPC, the Do Not Call Registry and CEA. This is not legal advice, and compliance is the agent's own responsibility whichever software sends the message.
